dealhead 101 - You've Been Invited to a Project

What it means to be added to a dealhead Project as part of Team 2, and what to do first whether you're joining as a Team Captain or a Team Member.

Someone on the other side of a transaction has added you to a Project in dealhead, the workspace they're using to run this deal from checklist to signature. If you've never used dealhead before, here's what that means and what to do next.

What dealhead does

M&A deals have historically run on email threads, shared drives, and checklists that fall out of sync the moment either side makes a change. dealhead replaces that with one shared workspace both sides work from directly: a live Checklist that tracks every deliverable, a structured negotiation workflow for exchanging drafts, and e-signature built in so documents get executed without a separate signing tool. Whoever invited you is using dealhead to run this transaction — that's why you're getting this email instead of another attachment.

Your Team

Every dealhead Project has two Teams, one for each side of the deal, commonly labeled Buyer and Seller. You've been added to Team 2, dealhead's default label for the second Team on a Project. 📝 Note: Your Team and its members are specific to this Project. If you're invited to a different deal later, you may end up on a different Team with different people.

What you can do depends on your role:

Team Captain — you manage the Checklist for your Team, negotiate documents on behalf of your Team, and control what your Team can see. Add Members on the Teams Tab to bring in colleagues from your organization.

Team Member — you can view and act on the Checklist Items assigned to you, but Project-wide settings and Team management are the Captain's job.

Getting started

1️⃣ Accept your invite. Follow the link in your invite email to create your dealhead account, or log in if you already have one. You'll land directly in the Project.

2️⃣ Get oriented on the Checklist. Every Milestone and Checklist Item for this deal lives on the Checklist Tab. This is where you'll see what's been done, what's outstanding, and what's assigned to you.

3️⃣ Know what's expected of you. A Checklist Item might be as simple as an approval, or a full document workflow with negotiation and signatures through dhNegotiate and dhSign. dealhead 101 - Working with Checklist Items walks through both.

4️⃣ If you're a Team Captain, build out your Team. Go to the Teams Tab, click Add Members to invite colleagues from your organization, then Publish for My Team so they can see the Project.

💡 Tip: Sign up with your organization's email domain rather than a personal one. dealhead groups accounts by domain, which makes it easier for your Team Captain to keep your Team organized.

Q: How do I upload documents to dealhead?

A: Create a Checklist Item for the document, then upload it directly to that item. If you're uploading multiple documents at once, the Bulk Upload feature lets you batch them. See Bulk Upload : A Guide for Team Captains for details.

Q: How do I send a document to the other Team for edits?

A: Use dhNegotiate. Upload your document, publish it to the other Team, and they'll send back revisions. The negotiation workflow tracks every version and who made changes. dhNegotiate - Getting Started walks through the full process.

Q: What's the difference between approving a document and signing it?

A: Approval is a checkpoint. You're confirming something is ready to move forward. Signing is the legal execution step. A Checklist Item might require both: approvals first, then signatures once the document is final. dealhead 101 - Working with Checklist Items covers both workflows.

Q: Do I need special software to sign documents?

A: No. dealhead's built-in signature capability (Profile Signature) works in your browser, no DocuSign account or other tools needed. If your organization uses a different signing service, your Team Captain can integrate that too.

Q: What happens after everyone has signed?

A: The document moves to Executed/Final status. dealhead automatically generates a Certificate of Completion, a legally binding audit record of who signed, when, and with what IP address and timestamp. Learn more in dhSign - Certificate of Completion.

Q: Can I see who changed what in a document?
