Organization Projects: A Guide for Organization Admins

How Organization Admins view every Project in their Organization, see who is on each Team, manage Team membership, and confirm DMS connectivity without full Project access.

Organization Admins can see every Project in their Organization, who from their Organization is on each one, and manage Project Teams without being added to the Project or asking a Team Captain. Access is deliberately narrow: you work in the Teams and DMS/Integration views of a Project and nothing else.

⚠️ Important: Organization Projects is available only to Users with the Organization Admin role. For User management, admin designations, DMS configuration, and SSO, see Guide for Organization Admins.

Opening Organization Projects

Open the Organization Admin dropdown and select Organization Projects. The view lists every Project in your Organization.

Column

What it shows

Project Name

The Project name. Click it to open the Project.

Publishing

Not Published, Published for My Team, or Published for All Teams.

Status / Current Milestone

The Project status, such as Active or Completed, and its current Milestone.

Created Date

When the Project was created.

Created By

The User who created the Project, with their Organization.

Org Participants

Users from your Organization assigned to the Project, shown as an avatar stack. Hover over a row to expand the stack into named chips.

Every column sorts ascending or descending. Org Participants sorts by participant count.

Searching and filtering

Search by Project name or participant name. To narrow the list by people, use the Participants filter and select one or more Users from your Organization. The list shows only Projects that include all of the selected Users.

Exporting to CSV

Select individual Projects, or use select all in the header row, then choose Export to CSV. With no rows selected, the export includes every Project in the list.

Seeing what a person is working on

Click any participant in the Org Participants column to see every Project that User belongs to, along with their role and the Project status. Click a Project in that list to open it.

What you can access in a Project

When you open a Project from Organization Projects, you see the Teams tab and the DMS/Integration tab. The Checklist tab, the History tab, and the Project workspace are not available to you, and they do not appear at all. A banner at the top of the Project identifies the Organization Admin view and its limits.

The Project's publishing status appears as a read only indicator. Publishing remains a Team Captain action, so you cannot publish or unpublish a Project from this view. For how publishing works, see User Access & Security Controls.

Managing a Team

On the Teams tab, a badge on your Organization's Team shows the role you are acting under, for example Impersonating: Team Captain. Your effective role is the highest role your Organization's Users hold on that Team, either Team Captain or Team Member, and your capabilities match it. This applies to the Teams tab only.

Acting as Team Captain, you can add and remove Team Members and mark or unmark Team Captains. Acting as Team Member, your capabilities are limited accordingly.

1️⃣ Add an existing User
Select the User from your Organization and choose the role to add them as.

2️⃣ Invite a new User
If the person is not yet in your Organization, invite them from the same add flow. This creates the Organization User and assigns them to the Team once they accept the invitation.

3️⃣ Mark or unmark a Team Captain
Open the member's options menu and change their Team Captain designation.

4️⃣ Remove a member
Open the member's options menu and select Delete Member, then confirm.

Removal protections

A Project must always have at least one member from your Organization on your Team, so you cannot remove the last one. Removing the last member of another Organization, or removing a counterparty member who has Project access, triggers additional warnings and confirmations. These work exactly as they do for a Team Captain, and your name is recorded as the person who made the change.

Audit trail

Every add, remove, and reassign action you take is written to the Project's History log in the same format as a Team Captain's change, with you listed as the actor. You cannot open the History tab yourself, but Team Captains on the Project can.

Viewing the DMS connection

The DMS/Integration tab shows a Project's connection details so you can confirm connectivity. It is read only. Connect, reconnect, disconnect, and edit actions are not available. Team Captains manage the connection; see DMS Integration: A Guide for Team Captains.
